This position supports daily warehouse operations by helping maintain an efficient and organized workflow, ensuring the steady movement of products, materials, and orders through receiving, storage, and distribution. This position works alongside team members to keep tasks on track, communicates needs or issues to the Warehouse Manager, and helps ensure production runs smoothly, timelines are met, and all processes are completed accurately and in compliance with established procedures. This role oversees and coordinates daily shipping and receiving operations within the Food Programs warehouse while also providing direction and support to Warehouse Specialists and Fresh Alliance staff to ensure efficient workflow and compliance with procedures.

Position Duties & Responsibilities
Ensure food pantry orders are pulled, palletized, and delivered through task assignment to warehouse staff and personal participation.
Ensure donations are picked up from community partners and vendors through task assignment to warehouse staff and personal participation.
Ensure shelf-stable, refrigerated, and frozen products are properly rotated in accordance with the FIFO (first in, first out) principle.
Ensure Fresh Alliance pickup routes are completed as scheduled and serve as a route driver when assigned drivers are unavailable.
Coordinate and ensure the completion of all required start-of-day, end-of-day, daily, weekly, and monthly warehouse checklists in collaboration with Warehouse specialists and Fresh Alliance specialists.
Plan daily tasks and assign personnel as appropriate to meet daily operational needs.
Arrange scheduled lunch and rest breaks for warehouse and Fresh Alliance staff.
Schedule, perform, and document vehicle and equipment inspections, completing inspections directly or coordinating completion by other warehouse and Fresh Alliance staff as needed.
Supports the Warehouse Manager by reinforcing training standards, helping new and existing staff follow established processes, and identifying areas where additional training or support may be needed.
Assists with onboarding and ongoing training of warehouse staff by demonstrating proper procedures, safe work practices, and accurate use of systems such as Primarius and digital forms. Provides day-to-day guidance, answers questions, and models expectations to help staff build confidence and consistency in their roles.
Assist the Food Programs Warehouse Manager with placing Oregon Food Bank orders using the inventory management system (Primarius), taking into account current inventory levels and warehouse capacity.
Follow and uphold Oregon Food Bank and Health Department requirements related to food handling safety and general warehouse operations.
Regularly review email communications and attend scheduled staff meetings.
Support the Food Programs Warehouse Manager with preparation for annual inspections and audits.
Maintain an organized digital filing system for order receipts, standard operating procedures, and other required documents.
Count, track, and record all warehouse inventory, ensuring timely and accurate entry into the appropriate inventory management system.
Receive incoming donated product and ensure accurate documentation through In-Kind Donation Receipts and entry into the inventory management system.
Coordinate and perform periodic physical inventory counts of all products within the warehouse.
Promote and maintain a positive, respectful, and collaborative work environment within the warehouse.
All other duties as assigned or directed by the Food Programs Warehouse Manager.
Position Requirements
Belief in ACCESS’ mission to provide food, warmth, and shelter.
At least 3 years of warehouse experience.
At least 3 years of leadership or supervisory experience.
Ability to obtain ServSafe food safety certification within 30 days of hire.
Forklift and electric pallet jack experience or ability to obtain certification within 60 days of hire.
Ability to independently operate a box truck with a lift gate within 60 days of hire.
Ability to learn current inventory management system (Primarius) within 90 days of hire.
Ability to lift 35 pounds consistently.
Adhere to safe workplace policies including proper use of PPE.
Basic math and writing skills.
Basic computer skills, including the use of Microsoft products such as Outlook, Excel, Word and Teams and navigating digital forms.
Good communication skills, team-oriented, and demonstration of positive leadership.
Ability to multitask in a variety of areas with demonstrated attention to detail.
Demonstrated ability to work effectively with customers and co-workers, sustain client and intradepartmental confidentiality.
A valid Oregon driver’s license with a record that is acceptable under ACCESS’ insurance policies.
